Highland Catering Services take your right to your data seriously. We appreciate the information you share with us and never sell it to 3rd parties. Further information about what we do with your data, how we store this data and how you can request a copy of your personal data can be found below.

What data do we store?

We store only the information necessary to effectively manage your catering booking. This information may include the following:

  • The name of the event organiser

  • The venue of the event

  • The date of the event

  • The number of guests expected

  • The address of the event organiser for invoicing purposes

  • Dietary requirements of guests attending (please note we will never request the personal details of any guests attending your event)

  • The details of your catering package

  • Terms and Conditions that include a client signature

Where is this data stored?

We store all of our data on a cloud based Google Storage platform. Not only does this cloud based system allow us to be more reactive to our storage requirements for the business it also benefits from the security levels already provide by Google. The Google cloud storage infrastructure is UK based and so falls within the current requirements of European legislation.

How is this data processed?

This data is processed primarily through the cloud based Google platform. We may also from time to time send marketing mailings to customers who have signed up to our Mailing list. This data is processed through Mailchimp and our security and privacy settings mean that any customer data held on Mailchimp is not accessible through Mailchimp’s marketing and research team.

How can I get a copy of my data?

We are happy to provide an electronic copy of all the data we store on you at any time. A request for this data must be made by email or in writing and it be answered within 30 days.

What should I do if I believe you have breached your security?

If you suspect that we have allowed your data to reach an unauthorised person, we ask that you provide us with a statement of how you believe this happened and any evidence you have to help us establish any issues. We will investigate and take action as necessary to remedy any breach of security.

How long do you hold my data for?

We retain records in electronic format and hold this information for a period of 3 months after your event. After this point your data is archived in a secure folder accessible to only Highland Catering Services management. At the point that records are no longer required to be kept, they will be deleted.
